    🌱 Set Up UX Office Hours To Scale Up Your UX Impact (https://lnkd.in/eevRpdng), a neat idea to scale up UX impact when PM and Engineering teams outnumber designers — to help product teams that might not have direct access to design expertise and spread the value of UX across the entire organization. Neatly put together by Raquel Piqueras Herrero from Microsoft. 🤔 Designers are often outnumbered by PMs and engineers. 🚫 Non-designers across teams have little to no exposure to UX. 🚫 The outcome: poor, fragile end-to-end UX of siloed products. ✅ With UX office hours, we make UX available to other teams. ✅ It’s consultations for products without dedicated UX support. ✅ Set up 1h weekly meetings: recurrent, time-protected slots. ✅ Allow teams to book 20 mins to get feedback and UX support. ✅ Schedule meetings mid-week to allow for issues to emerge. ✅ Send a “how-it-works” email with sample topics/questions. ↳ E.g. accessibility, checkbox vs. radio, design system, mobile. 🚫 Some requests are full-feature work → you’ll need to pre-approve. ✅ Ask for product name, feature, PM, desired feedback, docs, links. ✅ In Jira, delegate small consults to UX office hours with tags/flags. ✅ Keep an archive of requests and solutions in a single Figma file. ✅ Keep tabs on similar patterns or issues emerging across teams. As designers, we are often reluctant to invite engineers or PMs to design meetings because they don’t really “get” UX. But nobody wants to create a poor UX intentionally. It happens because UX never gets a chance to be a part of a conversation. And too often there is no established line of communication to early flag critical design mistakes before they reach production. But just like designers need technical feedback to avoid late implementation challenges, engineers need UX feedback to avoid complaints and regressions. They want to optimize user efficiency and customer satisfaction, just like they want to optimize code quality and team workflow. Instead of building walls, invite teams to build bridges. But what if you set up UX hours — and absolutely nothing happens? I would try to move the needle by sprinkling a bit of UX within the QA process. For consistency, efficiency and compliance. Embed accessibility and usability as a part of the testing suite to reduce maintenance work and drive efficiency. As Raquel Piqueras Herrero noted, “typically there is a clear need for clarity and a strong appetite for quality work.” I can only wholeheartedly agree with it. I’m yet to try out UX Office Hours, but you shouldn’t be surprised if, once set up, your UX office hours will be fully booked before you even blink. When you understand your costs, set clear terms, and align on value, you’re building not just a contract but a reliable partnership. Here are some of the best practices we have learned for effective vendor negotiations at Venwiz: 1. 𝐃𝐚𝐭𝐚-𝐃𝐫𝐢𝐯𝐞𝐧 𝐄𝐬𝐭𝐢𝐦𝐚𝐭𝐞𝐬: Arriving at project cost estimation through detailed cost analysis sets a solid foundation. Use methods like Zero-Based Costing for detailed estimations, apply inflation adjustments to the last purchase cost, or use weighted averages from multiple quotes. When vendors see that you know your numbers, it builds credibility and respect, setting the stage for more productive discussions.     2. 𝐒𝐞𝐭 𝐂𝐥𝐞𝐚𝐫, 𝐀𝐜𝐡𝐢𝐞𝐯𝐚𝐛𝐥𝐞 𝐓𝐞𝐫𝐦𝐬: Define concrete targets for service levels, timelines, and ceiling costs. A well-defined service agreement—including specifics like payment schedules, quality & safety standards, and warranty terms—establishes a strong foundation. This clarity avoids misunderstandings and creates a structure that supports efficient, respectful negotiations.     3. 𝐋𝐨𝐨𝐤 𝐁𝐞𝐲𝐨𝐧�� 𝐁𝐮𝐝𝐠𝐞𝐭 𝐭𝐨 𝐅𝐨𝐜𝐮𝐬 𝐨𝐧 𝐕𝐚𝐥𝐮𝐞: Budget matters, but so does value alignment. Quality vendors look for clients who understand this. Show commitment by offering flexibility in terms, such as adjusting payment timelines or considering future projects. If a vendor can provide an extended warranty or additional service terms, it may justify a slightly higher costs if it aligns with your project’s goals.     4. 𝐇𝐚𝐯𝐞 𝐚 𝐁𝐀𝐓𝐍𝐀 (𝐁𝐞𝐬𝐭 𝐀𝐥𝐭𝐞𝐫𝐧𝐚𝐭𝐢𝐯𝐞 𝐭𝐨 𝐚 𝐍𝐞𝐠𝐨𝐭𝐢𝐚𝐭𝐞𝐝 𝐀𝐠𝐫𝐞𝐞𝐦𝐞𝐧𝐭): Always have a clear fallback plan. A strong BATNA isn’t just a backup; it’s a powerful leverage tool that ensures you’re negotiating from a position of confidence rather than necessity. In vendor relationships, the best negotiations are built on value, transparency, and mutual respect. When both sides understand the stakes and goals, you pave the way for enduring partnerships that drive long-term results.     As a CTO who has successfully scaled AI and tech products, I’ve refined productivity strategies that can transform your leadership workflow and enhance your team’s output. If you’re leading in the tech industry, and grappling with overwhelming demands, the 3 targeted tactics I’m about to share are tailored for the unique challenges you face. My guiding principle each week is the 'Rule of Three': identifying three top priorities that serve as my North Star. These aren't just scribbled in a planner but physically placed on my office wall, a constant visual reminder of my core focus. This practice not only keeps me centered amidst the whirlwind of daily tasks but also ensures that every action is a step toward our most critical goals. Sharing these priorities with my direct reports does more than foster transparency — it aligns our efforts, synchronizes our strides, and forms the bedrock of our collective pursuit. It's a simple yet profoundly effective strategy that has continually steered us toward meaningful progress and impactful results. Next, time blocking has been a critical strategy. Carving out dedicated blocks for deep work, meetings, and even unexpected tasks allows me to create a rhythm amidst the chaos. This isn't just about sticking to a schedule; it's about allocating mental space and ensuring that high-priority projects get the uninterrupted attention they deserve. I always check each Friday that my time blocked schedule appropriately reflects the work I need to accomplish for my top three priorities. Lastly, I leverage automation and delegation. By automating routine tasks and delegating effectively, I maintain focus on what truly requires my expertise. It's not just about offloading work; it's about empowering my team by entrusting them with responsibilities that aid their growth while freeing me to lead more effectively. A framework I really like using is the Eisenhower matrix around categorizing work based on its urgency and importance. I try and focus as much of my work as I can on the important and urgent tasks. Implementing these strategies hasn’t just boosted my personal productivity; it sets a precedent for the whole team. When leaders manage their time effectively, it cascades down, fostering a culture of efficiency and clarity. Remember, in the world of tech and AI, where the ground shifts daily, these strategies aren't just nice-to-have—they're essential for survival and success. Back then, I thought building a great team meant hiring the smartest people, giving them clear goals, and expecting excellence. Simple formula, right? Sure, we were productive. But we weren't extraordinary. 𝗪𝗲'𝗱 𝗯𝘂𝗶𝗹𝘁 𝗮 𝘁𝗲𝗮𝗺 𝘄𝗵𝗲𝗿𝗲 𝗽𝗲𝗼𝗽𝗹𝗲 𝘄𝗲𝗿𝗲 𝘁𝗲𝗿𝗿𝗶𝗳𝗶𝗲𝗱 𝗼𝗳 𝗹𝗼𝗼𝗸𝗶𝗻𝗴 𝗶𝗻𝗰𝗼𝗺𝗽𝗲𝘁𝗲𝗻𝘁. Where asking questions felt like admitting weakness. Where psychological safety was a luxury we'd never actually created. So we changed everything. Not overnight. Not perfectly. But deliberately, consistently, with intention. 1. We normalized not knowing 2. We celebrated questions as much as answers 3. We made mistakes discussable, not shameful 4. We valued people beyond their output 5. We built trust through consistency, not grand gestures 𝗘𝗮𝗰𝗵 𝘀𝗺𝗮𝗹𝗹 𝗰𝗵𝗼𝗶𝗰𝗲 𝘁𝗼𝗹𝗱 𝗼𝘂𝗿 𝘁𝗲𝗮𝗺: Your wellbeing matters more than our comfort. Your voice matters more than our ego. Your growth matters more than perfect execution. To every founder building a team right now: Your people are carrying questions they're too afraid to ask. Problems they're too nervous to surface. Ideas they're too uncertain to share. Not because they're incapable. But because they're testing whether it's safe to be human in your company. So start small:  • Admit what you don't know in your next meeting.  • Thank someone publicly for asking a "basic" question.  • Share a mistake you made this week and what you learned.  • Ask your team not just "How's the project?" but "How are you?"     Back in the day I worked on a major platform revamp. The objective was to remain competitive and meet regulations. At the same time our biggest competitor was also upgrading their system. Both were huge, multi-year projects with lots of investment. Our competitor started ahead of us. But, we had a key strategy: → Rapid adoption with shorter cycles! Instead of waiting for a big reveal after three years, we rolled out capability periodically. This let us constantly improve our platform based on real-time customer feedback. Our competitor went with a traditional approach, aiming for one major release at the end. The result? By the end of three years, we had not only improved our NPS score but also taken a larger part of the market share! Our strategy kept us agile and responsive, letting us adapt quickly to market changes and customer needs. Our competitor launched an outdated system that couldn't meet current demands. Here's what we learned: 1. Customer-Centric Development: ↳ Frequent releases allowed us to gather and implement customer feedback continuously, enhancing user satisfaction and engagement. 2. Iterative Improvement: ↳ Rapid iteration enabled us to pivot quickly and address any issues or new opportunities that arose during the development process. 3. Competitive Edge: ↳ By staying ahead of trends and being first to market with new features, we were able to capture more market share and strengthen our position. In tech, speed isn't just about being fast—it's about efficient adoption. 👉 Rapid adoption and continuous iteration transforms a good product into a great one, and adds a massive competitive advantage to the company. Brand differentiation: → Unique micro-interactions tailored to your brand’s identity make your app or website stand out in a crowded market. Here’s how to use them effectively: a. Prioritize user intent: → Focus on moments where users might feel uncertainty. → Such as waiting for a process to complete or interacting with a new feature. b.     Building High-Performance Remote Engineering Teams is not just about video calls.... I’ve worked with teams across the UK, Europe, and the US, and one thing is clear: remote work isn’t inherently slower. But a lot of engineering teams fail because they try to run distributed teams like co-located ones. Here’s what really makes a remote engineering team high-performing: 1️⃣ Communication by Design, Not by Chance Async-first: Chat isn’t enough. Document decisions, architectural diagrams, and API contracts in a place everyone can access. Structured updates: Daily standups are optional; status tracking through PR reviews, automated CI pipelines, and project boards is mandatory. 2️⃣ Ownership & Clear Boundaries Each engineer owns services, APIs, or modules end-to-end. Service contracts are explicit. Teams don’t block each other because ownership is clear and dependencies are well-documented. 3️⃣ CI/CD Is Non-Negotiable Remote teams must trust that pushing code won’t break production. Automated testing, linting, and deployment pipelines reduce friction and async bottlenecks. Feature flags and incremental rollouts are your best friend. 4️⃣ Knowledge Visibility Remote teams fail when knowledge lives in heads. Maintain internal wikis, architecture maps, and runbooks. Code reviews aren’t just for QA—they’re the primary async learning tool. 5️⃣ Metrics That Actually Matter Velocity in story points? Fine. But measure deploy frequency, mean time to recovery, bug escape rate, and codebase health metrics. These metrics highlight systemic issues instead of punishing individuals. 6️⃣ Tech Stack Choices Matter Prefer tools that support async collaboration: GitOps, Slack with integrated threads, Jira/Trello boards, distributed logging, observability dashboards. Avoid systems that require constant synchronous attention or centralised knowledge bottlenecks. 7️⃣ Culture Is Explicit, Not Implicit High-performing remote teams share principles in writing: “We merge only green builds,” “We document before we ship,” “We pair when ownership overlaps.” Bottom line: Remote engineering success is built on process, ownership, tooling, and visibility, not on heroic effort or long hours. If your team is still treating async work like a co-located office, you’re leaving productivity and sanity on the table.

    For products being developed today, there is an incredible opportunity to overhaul their entire experience by going AI Native By being AI Native, applications can allow users the full experience of natural language interactions, fluid dialogues and multimodal input, making the overall engagement feel more organic versus refitting existing workflows to make specific tasks being AI enhanced. Additionally, AI Native applications have the opportunity to build real-time adaptive flows based on user behaviour, preferences and context, anticipating user needs proactively with every interaction. Finally, with AI woven into the architecture, user experiences are holistic. Context awareness and integrated feedback loops drive transparency, trust, and smooth error handling. However, when AI is simply added as a layer, the experience can feel disjointed from legacy design with potential mismatches in user flow and occasional latency. Ultimately, this provides opportunities for new entrants (both from startups and incumbents) to overhaul deep seated incumbents who would find it hard to make this dramatic transitions (one of the best cases of this being Perplexity)

    When I joined Amazon in 1999, we did not build good operating plans. By the time I left in 2015, our plans were world-class. Here are the components of a great plan so you can skip the 15 years of work that it took us to figure it out: 1) Introduction The Introduction is very short and factual. Many readers may not be familiar with your organization's size, scope, impact, and charter. Describe the business or function, the team, and their responsibilities and scope. If the team has established or wishes to propose any tenets, include them here. This should fill about one quarter of the page. 2) Metrics This is a table of the most important metrics (> 5, < 20) for measuring and understanding the business. Of course, the list should include standard output metrics like revenue and gross profit. But more importantly, the majority of the metrics listed are what you deem to be the key controllable input metrics for your business unit and your proposed numerical targets for each. I would argue that this is the most important part of your plan. If you invest the time to define and select the right controllable input metrics and goals for each, then you establish a set of north stars that will guide your team's actions throughout the year. 3) Review of Prior Year and Market Trends We looked for a candid assessment of what worked and what didn’t. A strong plan explains how the past year’s results shape the coming year’s priorities. It also shows awareness of changes in customer behavior, competitive dynamics, or regulatory shifts. 4) Problems and Opportunities To drive meaningful improvement each year, you must first honestly reflect on what worked and did not, and what external trends like technology, competitor progress, and customer expectations are noteworthy. This section convinces you (the writer) and the reader that your plan is grounded in real data that matters. It will help you decide where to double down on what’s working and where to change. 5) Initiatives Initiatives are where you explain what you plan to do. Initiatives include new business, product, or feature launches, projects to reduce costs or gain speed, plans to implement a new process, and more. Good plans differentiated between one-way door and two-way door initiatives. They also highlighted how each initiative is connected to the defined input metrics. 6) Resourcing Plan Headcount and budget must align with the scope of work. Include hiring plans and changes in fixed and variable expenses. The allocation of these resources should be described in the prior initiatives section. A clear accounting of resources by project or type of work makes it possible to evaluate whether you have too many or too few resources to accomplish the projects outlined in the plan.
