Gmail is a powerful tool for administrative professionals looking to streamline their workflow and enhance productivity. Here are some quick tips to use Gmail more efficiently: 1.     Utilize Keyboard Shortcuts: Gmail offers a range of keyboard shortcuts that can significantly speed up your email management. Enable shortcuts in your settings and learn the basics like 'c' to compose a new message, 'e' to archive, and '/' to search your mail. 2.     Create Filters and Labels: Organize your emails automatically by setting up filters to label, archive, star, or forward your mail based on specific criteria. This helps manage large volumes of incoming mail and keeps important emails from getting lost. 3.     Use the Schedule Send Feature: Prepare emails ahead of time and schedule them to be sent later. This is perfect for managing communication across different time zones or ensuring messages are sent at optimal times. 4.     Employ Templates: If you often send similar responses, use Gmail’s template feature (formerly known as 'Canned Responses'). This allows you to save and reuse common message formats without rewriting them. 5.     Integrate with Google Tasks and Calendar: You can directly add emails to Google Tasks or create Calendar events from emails. This integration ensures you keep track of follow-up actions and deadlines directly from your inbox. 6.     Leverage Advanced Search Operators: Master Gmail’s advanced search operators to find specific emails quickly. For example, searching 'from:example@mail.com has: attachment' will show all emails from that sender with an attachment. 7.     Utilize Smart Compose and Smart Reply: Enable these AI-driven features to help you write emails faster. Smart Compose suggests text as you type, while Smart Reply offers quick responses based on the received email. 8.     Configure Desktop Notifications: To stay on top of critical emails, set up desktop notifications to alert you when specific emails arrive, especially from important clients or team members. 9.     Manage Emails with Stars and Importance Markers: Stars and importance markers highlight emails that need urgent attention or follow-up, helping you prioritize your workload effectively. 10. Use Confidential Mode: When sending sensitive information, use Gmail’s confidential mode to set expiration dates for messages or revoke access anytime, adding an extra layer of security to your communications. By utilizing these features, administrative professionals can handle their email tasks more effectively, saving time and increasing their productivity in the workplace.

When immersive tech stops being a novelty and becomes a LIFELINE for human connection, that's true innovation!!! 💜🕶️ Rendever just secured $4.5 million in NIH funding. Not because they're hyping metaverse dreams. Because their VR platform is SCIENTIFICALLY PROVEN to overcome social isolation in seniors. Let that sink in: Virtual Reality doesn't just entertain older adults. It literally extends their lifespans through connection, memory, and joy. Watch the video. An 80-year-old puts on a headset and says "I'm flooded with memories." Another asks "Where should we travel today?" A caregiver says "This is the best tool in my toolkit." That's not marketing. That's transformation. The research is undeniable: Falls reduce by 48% in 4 weeks. Family engagement bridges distances. Dementia patients reconnect with dignity. Caregiver burnout decreases. Community satisfaction scores jump 40%+ in 8 weeks. 🔹 Reminiscence Therapy — Revisit childhood homes, wedding locations, life milestones. Restore identity through memory, not medication. 📩 Shared Multiplayer Experiences — Families separated by miles play together, laugh together, CREATE together in shared virtual spaces. 🥽 Healthcare-Grade Impact — This isn't entertainment. It's clinical intervention with measurable outcomes and sustainable business models. No ROI spreadsheet needed. The joy is the proof. The opportunity is massive: 500+ senior living communities already deployed. Now expanding to home care. India's aging population? Southeast Asia's residential communities? Africa's emerging senior markets? The addressable market is BILLIONS in unmet human need. By 2027, every senior care facility without VR-based connection protocols will be viewed as operationally deficient. What does aging look like when technology means connection instead of isolation? #VirtualReality #HealthTech #MentalHealth #Care #Family #Wellness

Your inbox doesn’t have to run your life. The average professional spends 11+ 𝗵𝗼𝘂𝗿𝘀 𝗮 𝘄𝗲𝗲𝗸 on email. That’s nearly 30% of your workweek spent on sorting, reading, and replying—most of which you don't even need to look at.  The real problem? 𝗗𝗲𝗰𝗶𝘀𝗶𝗼𝗻 𝗳𝗮𝘁𝗶𝗴𝘂𝗲. Every email forces you to make a choice:   - Is this urgent?   - Do I respond now or later?   - Do I archive, delete, or leave it unread?  It’s exhausting.  But what if your inbox worked smarter, not harder? AI can help:   - 𝗔𝘂𝘁𝗼-𝘀𝗼𝗿𝘁 𝗱𝗶𝘀𝘁𝗿𝗮𝗰𝘁𝗶𝗼𝗻𝘀: (newsletters, promotions) so you only see what matters.   - 𝗦𝘂𝗺𝗺𝗮𝗿𝗶𝘇𝗲 𝗹𝗼𝗻𝗴 𝘁𝗵𝗿𝗲𝗮𝗱𝘀: so you get the key points in seconds.   - 𝗗𝗿𝗮𝗳𝘁 𝗿𝗲𝗽𝗹𝗶𝗲𝘀 𝗳𝗼𝗿 𝘆𝗼𝘂: based on your tone and past conversations.  Tools like SaneBox, Shortwave, and Superhuman can cut email time by up to 40%, freeing you to focus on the real work that moves the needle.  In this week’s edition of 𝗣𝗿𝗮𝗰𝘁𝗶𝗰𝗮𝗹 𝗔𝗜, I break down some of the best tools and actionable strategies to reclaim your workday.  How much time do you spend on email each week? • I know that email feels old-fashioned to many. But we purposely used it to build an agent solution we believe is conceptually much more secure than others you have seen. It's part of Red Ink 1.3, which we just released. Some highlights: 🤖 Agent Mode & Inky AutoPilot: Delegate tasks to "Inky" directly in the Local Chat or via email. Have it correct, translate or compare documents, create PDFs, or comment or summarize attachments for you. Or do research, say, in legal databases (which is what we do). Or have a discussion with Inky. It's a secure, enterprise-ready agent that works for you even when you're away from your desk. There is no need to provide access to all your files or give it control over your mailbox or content. Just send an email with the attachments and what you would like Inky to do with them (e.g., have them corrected, even if hundreds of pages long), or use it with the the Local Chatbot of Red Ink. Use cases of Inky AutoPilot also include providing corporate AI to those who do not have an office job. To run an Inky AutoPilot instance, you only need a standalone virtual Windows computer with MS Office installed, its own email account, and Internet access. You limit who Inky will answer. All tools are hardcoded, each mail has its own stateless context. 📧 Outlook Upgrades: Inbox Board - Manage your emails with a Kanban-style board based on categories and flags, complete with AI summaries. Mail Mover: Automatically sort emails into the correct folders using natural language rules (but you keep control). 📂 Enhanced Document Handling: PowerPoint Support - translate, correct or amend entire .pptx files in one go (this was possible already with Word docs before). AI Anonymization - the feature now works on entire documents, not just selected text. Intelligent PDF Splitting - automatically separate large PDFs into individual exhibits (another user request to improve efficiency). 🌐 Web & File Tracking: Save and compare snapshots webpages or files to easily track changes to online terms, privacy notices, or price lists. With AI summaries, of course. These are just a few of the updates. We've also improved document processing, added a tool that converts Draw.io flowcharts to web-apps, provide support for MCP, and made numerous other enhancements to streamline your workflow. We also added arcade-style mini-games to train your phishing detection skills with AI generated mails. More info: https://lnkd.in/eZvCC_HF Red Ink is an alternative AI assistant in the form of add-ins for Microsoft Word, Outlook (classic) and Excel for Windows. If you don't like what you get pre-installed in Microsoft Office or it takes too long to do the job, try this with your favorite model. Red Ink is model agnostic (works with GPT, Gemini, Perplexity, Claude, OS/local models, etc.), and the source code is open on GitHub. License is free or low cost. Fun update: I got tired of disliking every email client I’ve ever used and built my own. It’s called Exo (for exoskeleton). It’s Claude Code for my inbox. It manages my inbox for me, and it’s open source. Try it out today: https://lnkd.in/e7Aduqcv 1. It will auto draft replies. To draft a great reply, you need an intelligent agent to do arbitrary tool calls to gather the context needed. Exo uses @claudeai Agent SDK to intelligently pull this context and draft a reply for every prioritized email. It turns out that using just a single LLM call (as Gmail's "Smart Reply" seems to do natively) produces slop. With the right agent, you can get enough context to draft a great reply. 2. My favorite feature: the Exo agent can talk to other agents. E.g. if you use OpenClaw or your company has an internal agent, you can direct the Exo agent to converse with it, pull the necessary context, and draft a good reply. 3. It writes in your style. Every email has a 2 stage style transfer prompt. It tries to inject recent email examples you’ve sent to that person, and if you havent sent any, it finds threads with similar formality to inject to match your style. I’ve found this produces drafts that very closely match my email style. 4. You can issue bulk commands based on email. Someone requests a list of 5 intros from you? Issue a command like “Look up their emails in the company DB and briefly ask if they’d be up for an intro.” This will draft 5 emails in your style for each that you can quickly send. 5. It has Claude Code’s tools available to it, and you can add more via MCP or CLI (CLI coming soon). 6. This means you can pull in any arbitrary data source: company databases, Circleback meetings, Slack threads, etc as context for the Exo agent. 7. Exo has memories. Make an edit and it’ll automatically analyze and make an inference about that change. As it gathers more evidence, these become agent memories that are injected into the writing prompt. 8. You can also direct the agent’s actions via memories. You can give it commands like “when I get a cold email from a founder, look up their company on Crunchbase”. 9. All system prompts are directly editable in the user interface. See Pete Koomen's “AI Horseless Carriages” for why. 10. It's heavily extendible. You can add extensions for sidebar panels or new agent interfaces to expand its utility. 11. All the usual email client batteries are included, including multi account, split inbox, rich text editor, instant intro, scheduled send, offline mode, undo send, keyboard shortcuts (superhuman style or gmail style). 12. Supports Gmail and Google Workplace, with support for @agentmail on the roadmap. 13. Open Source + built with Garry Tan's gstack. Feel free to use it for personal use or to manage your work email. 14. One click to install the .dmg in the README of the repo. All you have to do is set up Gmail API and it's good to go. Hosted version coming soon!

Turn AI into your unfair advantage

Most people open Claude, type a question, get an answer, and close the tab. That is fine. But it is roughly equivalent to hiring a brilliant full-time employee and only asking them to answer emails. Anthropic just launched Claude Cowork and it changes everything about how you can use Claude. Instead of having a back and forth conversation, you describe what you need, hand it over, and Claude works through your files, your emails, your calendar, your connected apps, and the web until the job is done. You can close your laptop and Claude keeps going. You come back to polished, finished work waiting for you. Most people have no idea this exists. Here are 5 prompts to upgrade how you work today: 1. The research brief builder Prompt: "I have a meeting with [describe who and why] on [date]. Go through my recent emails and files related to this, search the web for relevant background, and build me a comprehensive briefing document. Include key facts, recent developments, potential questions they might ask, and what I need to know walking in." 2. The recurring report automator Prompt: "Every Monday morning I need a weekly status report that pulls together [describe what you track, where the data lives, and who it goes to]. Set this up as a recurring task. Pull the relevant information from my files and connected tools, compile it into a clean report, and have it ready for my review before I start work." 3. The inbox zero prompt Prompt: "Go through my inbox from the last [time period]. Categorize every email by urgency and type. Draft replies to anything that needs a response, flag anything that requires a decision from me, unsubscribe from anything that looks like noise, and give me a summary of what you did and what still needs my attention." 4. The meeting prep automator Prompt: "I have the following meetings this week: [list them]. For each one, go through my emails, files, and any relevant web information to build me a one-page prep document. Include context, key topics likely to come up, any open action items from previous meetings, and what I need to decide or communicate in each one." 5. The end of week wrap-up Prompt: "It is the end of the week. Go through my emails, files, completed tasks, and calendar from the past five days. Write me a summary of what was accomplished, what is still outstanding, what slipped and needs to be rescheduled, and what my top three priorities should be when I start work on Monday." ------ Claude was already the most capable AI most people had access to. Cowork makes it something else entirely. Not a tool you talk to but one that works alongside you, through your files, your apps, and your schedule, while you focus on the things that actually need your brain. Save this and try prompt three today. Your inbox will thank you. P.S. ~ For more updates like this: 1. Scroll to the top 2. Click "View my newsletter" 3. Subscribe, and you'll never miss a thing in the world of AI ever again.

  • Inbox Zero: 6 Strategies That Actually Work Email, am I right? If you are like me, you probably have hundreds if not thousands of emails across multiple inboxes. You respond, you delete, and yet it seems like a Sisyphean task as the next day, your inbox is full again. My New Year's resolution was to reduce my work inbox to fewer than 500 emails and my personal inbox to below 100. I haven't accomplished that yet. So, I decided to ask AI for solutions and discovered practical strategies that significantly helped me reduce the number of emails in my inbox. 1. The 2-Minute Rule If responding takes less than 2 minutes, do it immediately. Don't let quick tasks pile up. 2. Schedule Email Time Blocks I check email just 3 times daily: Morning, midday and end of day. This prevents constant interruptions and reclaims 90+ minutes of focused work daily. 3. Use the "Touch-It-Once" Principle When you open an email, decide its fate immediately: • Respond • Delete • Archive • Delegate • Schedule for later action Tools that help me implement this: • Todoist: I forward emails requiring action to my task manager with one click • ClickUp: For emails that become projects, I create tasks directly from my inbox • Microsoft Teams: I've moved quick questions and daily communications from email to Teams chats No more marking as unread or revisiting the same messages repeatedly. 4. Create Smart Filters & Templates Set up filters for automatic sorting and use templates for repetitive responses. I reduced my email processing time by 40% this way. Some tools that transformed my workflow: • Gmail Filters: I automatically label emails by project and route newsletters to a "Read Later" folder • Microsoft Outlook Rules: Set up rules to move emails to dedicated folders • Copy'Em (MacOS): Saved templates for common responses (meeting scheduling, information requests) • Boomerang: Schedule emails to return to my inbox if no response within 3 days • Created a new inbox for general inquires and my admin helps monitor it. 5. Embrace the Weekly Reset Every Friday, I spend 20 minutes clearing out my inbox. This ritual prevents weekend anxiety and gives Monday a fresh start. I also use in-flight time to respond to messages; no Wi-Fi needed; they will go out when I get back online. 6. Ruthlessly Unsubscribe I dedicate 10 minutes monthly to unsubscribing from newsletters and promotional emails I no longer read. For each new subscription that comes in, I ask: "Does this provide real value?" If not, I unsubscribe immediately. Tools like Unroll.me have helped me identify and mass-unsubscribe from dozens of mailing lists I didn't even remember joining! What email management strategies work for you? Share in the comments! #ProductivityHacks #EmailManagement #WorkSmarter #ProfessionalDevelopment

  • Check it out – The Wall Street Journal recently spotlighted Project Starline, a groundbreaking 3D conferencing system developed by HP and Google. The article explores how this hybrid technology is set to redefine how we collaborate in the modern workplace. As Dave Shull puts it, “It’s redefining collaboration, especially for high-stakes conversations where body language makes up more than 50% of communication.” So much of what we say isn’t spoken, from a raised eyebrow or a shift in posture. Through the power of AI, Project Starline captures these subtle, unspoken moments, making our interactions more human and, ultimately, less draining. This is what it looks like when technology fades into the background, allowing authentic connection to take center stage.
